Teresa,

If it helps, whenever possible I always do a site visit with my clients and
I also try to obtain a floor plan from the hall (especially for Weddings) of
where all the tables will be placed, so that the client and I are both on
the same wave length as far as placement of decor, and I have a better idea
of the venue I am dealing with.  Of  course it's not always possible to do
these things, and there are ALWAYS last minute changes (such as the ones you
encountered, and we've all been down that road....), but whenever it is
possible to scope these things out I do it.
